An order isn't one state — and that's precision, not complication

In this market an order can be shipped and unpaid, or paid and undelivered, or delivered with the money still sitting at the courier. Any system that squeezes all of that into a single field called "status" forces you to keep a notebook beside it. Here an order carries three independent states — fulfilment, payment and delivery — so the picture in front of you is the real one.

What it actually does

The order's life

Confirm, ship, deliver, cancel — each step moves only the state it should. Cancelling an order returns the stock and puts back any gift-card or store-credit balance that was used on it.

Cash on delivery as it really is

An order stays "awaiting collection" until it's delivered and collected, then "settled" once the courier transfers the money to you. The gap between collected and settled is exactly the money that is not yet in your hands.

Shipments from the same place

From the order page you price the shipment and book it with the carrier, without opening their site and copying the address across.

Manual transfers and partial refunds

InstaPay, bank transfer and manual Vodafone Cash are handled distinctly in the screen. And a refund can be partial — you return part of the order's value and the rest stays accounted for.

How it works

  1. An order lands

    You get an immediate notification in the dashboard and on WhatsApp.

  2. Confirm

    Review it and confirm, and it moves to being prepared.

  3. Ship

    Create the shipment and record the tracking number; the customer is told.

  4. Collect and settle

    Record collection on delivery, and settlement when the courier transfers the money.

Common questions

Is there a point of sale for a physical shop?

No. These are online store orders — there is no till screen for selling in a shop.

Can I print an invoice for an order?

There is no ready-to-print invoice document per order today. The invoices that exist are for your own Hekana subscription.

Can I record an order by hand from the dashboard?

No, there is no manual order-creation screen right now. Orders come from the store or from a product link.

If I cancel an order, does the stock come back?

Yes, the stock returns and any balance used goes back to its owner.
